Event organisers' toolkit

If you are planning to host an outdoor event on public land, borough streets or in a Newcastle-under-Lyme Borough Council owned park that will: 

  • likely attract visitors at any one time during the advertised opening hours
  • involve one or more consented activity (street trading, alcohol or entertainment) or may require a formal road closure

you will be required to submit an expression of interest at least six months in advance of the event. This allows us to manage the range, quality, and number of events during peak times. 

We recommend you do not make any firm arrangements or take bookings until you have received confirmation as to whether your expression of interest has been successful. 

If your expression of interest is successful we will expect you to positively work with us through the event planning process, including adhering to timescales for submitting an event management plan and engaging with/delivering requirements set out by members of the safety advisory group.

How do I submit an expression of interest?

Email your expression of interest to eventsafety@newcastle-staffs.gov.uk

You will need to:

  • outline what your event is
  • tell us when you expect it to take place
  • tell us where you are hoping to hold it
  • give us some details of the type of activities
  • give us estimated numbers of attendees

Making your arrangements

What happens next?
